Welcome to Icon Quest Travel. These Terms of Service (“Terms”) govern your use of Icon Quest Travel’s website, travel planning services, quotes, booking services, client portal, and related services.
By requesting a quote, submitting traveler information, making a payment, authorizing a booking, or otherwise using the services of Icon Quest Travel, you acknowledge that you have read, understood, and agree to these Terms.
Icon Quest Travel (“Icon Quest Travel,” “IQT,” “we,” “us,” or “our”) is a travel agency that assists travelers with researching, planning, arranging, and booking travel products and services offered by independent third-party travel suppliers.
These suppliers may include, but are not limited to:
Unless expressly stated otherwise, Icon Quest Travel does not own, operate, manage, or control these third-party suppliers.
Icon Quest Travel acts as an intermediary between travelers and independent travel suppliers.
When we arrange travel on your behalf, the travel products and services themselves are provided by the applicable supplier. Your reservation may therefore also be subject to that supplier’s own terms, conditions, policies, passenger contracts, cancellation rules, refund policies, and other requirements.
By authorizing a reservation, you agree to comply with the terms and conditions imposed by the applicable supplier.
Supplier policies may change without notice to Icon Quest Travel.
Travel quotes are based on the information, pricing, availability, promotions, taxes, fees, and supplier conditions available at the time the quote is prepared.
Unless expressly stated otherwise, a quote does not guarantee:
Travel inventory can change quickly.
A reservation is not confirmed until the applicable supplier accepts the booking and any required deposit or payment has been successfully processed.
Icon Quest Travel is not responsible for price increases or loss of availability occurring between the time a quote is issued and the time the traveler authorizes and completes the booking.
Travelers are responsible for providing complete and accurate information.
This includes, when applicable:
Names provided for reservations should match the traveler’s applicable government-issued identification and travel documents.
Travelers are responsible for reviewing all quotes, confirmations, invoices, itineraries, and travel documents promptly and notifying Icon Quest Travel of any errors.
Fees charged by suppliers to correct traveler-provided information are the traveler’s responsibility.
Travelers must make payments according to the deadlines established by Icon Quest Travel and/or the applicable travel supplier.
Failure to make a required payment by the applicable deadline may result in cancellation of the reservation by the supplier.
Icon Quest Travel cannot guarantee that a supplier will provide a grace period for missed payments.
Prices may include or exclude certain taxes, resort fees, gratuities, baggage fees, port charges, service charges, destination fees, or other expenses depending on the supplier and travel product.
Travelers should review their booking documentation carefully to determine what is included.
Icon Quest Travel may use approved payment-processing or secure payment authorization systems to facilitate traveler payments.
Travelers should submit payment information only through payment methods authorized by Icon Quest Travel.
For security and recordkeeping purposes, Icon Quest Travel does not accept payment card information through unsecured communication channels unless specifically authorized by our established payment procedures.
By authorizing payment, the traveler authorizes the applicable amount to be charged according to the booking authorization and supplier requirements.
A payment authorization does not guarantee that the reservation will be confirmed if pricing or availability changes before the supplier completes the transaction.
Icon Quest Travel (“IQT”) charges planning and service fees for customized travel research, itinerary development, supplier research, quote preparation, and other professional travel-planning services.
Planning fees compensate IQT and its Quest Designers for the time, research, expertise, and services involved in developing a Traveler's vacation options. Planning fees are separate from the cost of the Traveler's vacation and are not payments toward any travel supplier unless expressly stated otherwise in writing.

The applicable planning fee must be paid before IQT begins customized research or prepares a personalized travel proposal, unless IQT expressly agrees otherwise in writing.
Planning and service fees are non-refundable once planning or research services have begun, including if the Traveler later decides not to book, books directly with a supplier, books through another travel agency or website, changes or cancels their travel plans, or does not proceed with the proposed vacation.
Payment of a planning fee does not guarantee specific pricing, availability, promotions, accommodations, transportation, or other travel arrangements.
Travel pricing and availability remain subject to change until the applicable supplier confirms the reservation and all required deposits or payments have been made.
Planning services include a reasonable amount of research and revisions within the scope of the original travel request. Significant changes to the destination, travel dates, number of travelers, trip type, budget, or other material components may be treated as a new planning request and may require an additional planning fee.
IQT will advise the Traveler of any additional planning or service fee before beginning work that would result in an additional charge.
Planning fees apply consistently regardless of the Traveler's personal relationship with an IQT owner, employee, or Quest Designer, including friends and family, unless an authorized IQT promotional offer or written exception applies.
Group reservations may be subject to additional terms, deadlines, deposits, planning fees, minimum participation requirements, room or cabin allocations, and supplier contracts.
The individual organizing or serving as the primary contact for a group is responsible for communicating applicable information and deadlines to members of the group unless Icon Quest Travel agrees otherwise.
Each traveler remains responsible for complying with applicable supplier requirements and reviewing their individual travel documents.
Group pricing and benefits may depend upon maintaining a required number of travelers, rooms, cabins, or other reservations.
If participation changes, the supplier may modify pricing, amenities, promotions, or group benefits.
Cancellation and modification policies vary by supplier.
Travelers are responsible for reviewing and understanding the cancellation and change policies applicable to their reservation before authorizing the booking.
Cancellation or modification of a reservation may result in:
Submitting a cancellation or modification request to Icon Quest Travel does not itself guarantee that the supplier has completed the requested action.
A cancellation should be considered complete only after confirmation has been received from Icon Quest Travel and/or the applicable supplier.
Refund eligibility is determined primarily by the terms of the applicable travel supplier and the type of reservation purchased.
Icon Quest Travel cannot guarantee that a supplier will issue a refund.
When a supplier approves a refund, processing time is controlled by the supplier, financial institution, and/or payment processor.
Refunds may take additional time to appear on the traveler’s account after being processed.
Certain bookings may instead qualify for future travel credits or other supplier remedies.
Icon Quest Travel is not responsible for delays caused by a supplier or financial institution in issuing or processing an approved refund.
Icon Quest Travel may recommend or make travel protection options available when appropriate.
Travel insurance may help protect travelers against certain unexpected events, subject to the terms, exclusions, limits, and coverage requirements of the insurance policy.
Travelers are responsible for reviewing insurance policy documents and determining whether the coverage is appropriate for their circumstances.
Declining travel insurance may expose the traveler to financial losses resulting from cancellation, interruption, delays, medical emergencies, lost baggage, or other events.
Insurance benefits are determined by the insurance provider, not Icon Quest Travel.
Icon Quest Travel does not guarantee that a particular insurance claim will be approved.
Travelers are solely responsible for determining and satisfying all documentation and entry requirements applicable to their trip.
Depending upon the destination and itinerary, requirements may include:
Entry requirements can vary based on citizenship, residency, destination, transit points, and individual circumstances.
Icon Quest Travel may provide general information as a convenience, but travelers are responsible for verifying current requirements with the appropriate governmental authorities.
Icon Quest Travel is not responsible if a traveler is denied boarding, entry, or participation because of insufficient or incorrect documentation.
Travel involves inherent risks.
Conditions at destinations can change before or during travel because of weather, natural disasters, public health events, civil disturbances, transportation disruptions, governmental actions, or other circumstances.
Travelers are responsible for evaluating destination conditions and determining whether they are comfortable traveling.
Travelers should consult appropriate governmental and health authorities for current travel advisories, entry requirements, and health information.
Airline schedules, routes, aircraft, seat assignments, baggage policies, and fares are controlled by the applicable airline and may change.
Icon Quest Travel is not responsible for airline schedule changes, delays, cancellations, missed connections, baggage issues, seating changes, denied boarding, or other airline operational decisions.
Travelers are responsible for reviewing airline requirements and arriving at the airport with sufficient time to complete check-in and security procedures.
Cruise reservations are governed by the applicable cruise line’s passenger contract and policies.
Cruise lines may modify itineraries, ports of call, schedules, onboard offerings, ships, or other aspects of a sailing when permitted under their terms.
Travelers are responsible for complying with cruise line documentation, check-in, health, age, identification, and boarding requirements.
Failure to comply with cruise line requirements may result in denied boarding without a refund.
Theme park tickets, reservations, hotel accommodations, dining, transportation, and other components of vacation packages may be subject to separate availability and supplier rules.
Park admission does not necessarily guarantee access to every attraction, event, reservation, or experience.
Attractions, entertainment, operating hours, transportation, restaurants, and other services may change or become unavailable.
Icon Quest Travel does not control these operational decisions.
Travelers are expected to comply with applicable laws, supplier policies, safety requirements, and reasonable standards of conduct.
A supplier may refuse service, remove a traveler, cancel a reservation, or take other action when permitted under its policies.
Icon Quest Travel is not responsible for losses resulting from a traveler’s violation of supplier policies or applicable law.
Travelers should notify Icon Quest Travel of accessibility needs or special requests as early as possible.
Icon Quest Travel may communicate these requests to applicable suppliers but cannot guarantee that a supplier will accommodate a particular request.
Travelers with accessibility requirements should independently confirm that accommodations, transportation, facilities, excursions, and other travel services meet their individual needs.
Icon Quest Travel is not responsible for the acts, omissions, errors, representations, warranties, breaches, negligence, or operational decisions of independent travel suppliers.
This may include events involving:
Any rights a traveler may have against a supplier are governed by applicable law and the traveler’s agreement with that supplier.
Icon Quest Travel will not be responsible for failure or delay in performing obligations when caused by events outside its reasonable control.
Such events may include severe weather, natural disasters, acts of government, war, civil unrest, labor disruptions, public health emergencies, transportation disruptions, supplier failures, technology outages, or other extraordinary circumstances.
When these events affect travel, Icon Quest Travel may assist travelers with available supplier options but cannot guarantee refunds, credits, alternate arrangements, or specific outcomes.
Travelers should contact Icon Quest Travel promptly if they believe a payment or reservation contains an error.
Initiating a payment dispute or chargeback does not automatically cancel a reservation or override the cancellation and refund terms of the applicable supplier.
Travelers remain responsible for legitimate charges authorized under their reservation and applicable supplier agreements.
Icon Quest Travel reserves the right to provide reservation records, payment authorizations, communications, supplier policies, and other relevant documentation to payment processors or financial institutions when responding to a payment dispute.
Nothing in this section limits any rights available to a consumer under applicable law.
Icon Quest Travel may provide online tools, including websites, quote systems, forms, payment links, and client portals.
Travelers are responsible for protecting login credentials associated with their accounts.
Travelers must not attempt to:
We may modify, suspend, or discontinue online features when necessary for maintenance, security, operational, or business reasons.
By conducting business electronically with Icon Quest Travel, travelers consent to receiving travel-related communications electronically.
Communications may include:
Travelers are responsible for maintaining accurate contact information and monitoring communications related to their reservations.
The Icon Quest Travel name, branding, logos, website content, original written materials, graphics, and other proprietary materials may be protected by intellectual property laws.
These materials may not be copied, reproduced, distributed, modified, or commercially exploited without authorization except as permitted by law.
Third-party trademarks and intellectual property remain the property of their respective owners.
Icon Quest Travel may collect personal information necessary to provide travel-planning and booking services.
Certain information may need to be shared with travel suppliers, payment processors, technology providers, or other service providers to complete requested services.
The collection and use of personal information may also be governed by Icon Quest Travel’s Privacy Policy.
To the fullest extent permitted by applicable law, Icon Quest Travel will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the acts or omissions of independent travel suppliers or events outside Icon Quest Travel’s reasonable control.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.
Icon Quest Travel works to assist travelers in planning and arranging travel but cannot guarantee subjective aspects of a travel experience.
Individual experiences may be affected by supplier operations, weather, crowds, service levels, destination conditions, personal preferences, and circumstances outside Icon Quest Travel’s control.
Icon Quest Travel reserves the right to correct typographical, clerical, or technical errors in quotes, invoices, website content, and other communications.
If a supplier identifies an incorrect fare, price, tax, promotion, or availability, the supplier’s applicable rules will govern whether the reservation can be honored.
To the extent permitted by applicable law, these Terms will be governed by the laws of the State of Texas, without regard to conflict-of-law principles.
Any mandatory consumer protections or other rights that cannot legally be waived remain unaffected.
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the fullest extent permitted by law.
Icon Quest Travel may update these Terms periodically.
The updated Terms will become effective on the date identified in the revised version, subject to applicable law.
Terms applicable to an existing reservation may also depend upon the agreement and supplier terms in effect when the reservation was made.
Questions regarding these Terms or an existing reservation may be directed to Icon Quest Travel through the official contact methods published on the Icon Quest Travel website or client portal.
By submitting a booking request, authorizing payment, paying an applicable planning fee or deposit, or confirming a reservation through Icon Quest Travel, the traveler acknowledges that they have reviewed and agree to these Terms of Service and the applicable terms and conditions of the travel supplier.
